How to send WhatsApp Messages

Step 1: On the dashboard click on WhatsApp

Step 2: On the left-hand side menu, click on “Send WhatsApp” to access the section for sending messages via your approved templates.

Sending WhatsApp Messages – Options Overview

When you click on “Send WhatsApp”, a pop-up will appear showing you three options to send WhatsApp messages:

  1. Manually
    Send a single WhatsApp message by entering the recipient's number and selecting the desired template. Ideal for quick, one-on-one communication.

  2. Segmento
    Send messages to a specific user segment based on filters or conditions set within MSG91's Segmento module. Useful for targeted or behavior-based campaigns.

  3. CSV Upload
    Bulk-send WhatsApp messages by uploading a CSV file with multiple contacts and variables. Perfect for mass communication with personalized content.

    Step 3: If you want to send the template message manually, click on the "Manually" option.

    A rectangular input box will appear.
    In the "To" section, enter all the mobile numbers you wish to send the template to. You can separate multiple numbers using commas. You can add up to 1,000 numbers in a single submission.

    Next, select the phone number (sender ID) from which you want to send the template.

    Note: If the mobile numbers are entered without a country code, the submission and credit deduction will be based on the country detected from the number’s starting digits (e.g., 91xxxxxxxxxx for India).

Step 4: Select the template you wish to send to the users.
In the Variable Mapping section, fill in the variable values as defined in your template.
If you're using a Product or Catalog-based template, make sure to enter the correct Catalog ID and Product details as required by the template.

If your selected template includes a catalog, make sure to fill in all the required fields such as variables, Catalog ID, and Product details to ensure proper delivery of the message.

Step 5: Click on review and send after entering all the details.

If you want to send the template using Segmento:


Click on the “Segmento” option in the pop-up. Select the desired Segmento list to target users based on predefined filters or conditions. Then, choose the template, map the variables if required, and proceed to send.

Steps to Send a WhatsApp Template via CSV File

  1. Go to "Send WhatsApp"
    Click on the "Send WhatsApp" option from the left-hand side menu.

  2. Choose the "CSV" Option
    In the pop-up, select "CSV" as your sending method.

  3. Download Sample CSV Format
    Click on “Download Sample” to get the correct format for uploading. This ensures the file structure matches the template requirements.

  4. Fill in the CSV File

    • Add the recipient mobile numbers.

    • Enter variable values exactly as required by your selected template (e.g., name, date, order ID).

    • Include catalog/product details if using catalog templates.

  5. Upload the CSV File
    Upload the filled CSV by clicking the “Choose File” or “Upload” button.

  6. Select the Template
    Choose the WhatsApp template you want to send.

  7. Preview & Review
    Once uploaded, preview the mapped data. Check for accuracy.

  8. Click "Review & Send"
    After verifying the details, click “Review & Send” to initiate the message sending process.
